Patients who had a good visit rarely think to write it down. This flow sends one message from your clinic's number a few hours after the consult, with a direct link to your Google listing. What they write is entirely theirs.

A few hours after the visit is closed, not while they're still at the counter.
The visit is over, the bill is paid, the prescription is on their phone. That evening, when the patient has had time to feel better or at least feel looked after, is when a request to share their experience lands well. At the counter, with a queue behind them, it does not.
This flow starts when a visit is marked complete. After the delay you choose, it sends a short thank-you from your clinic's number with a link that opens your Google review form directly. There is no script, no suggested wording and no prompt to leave a particular rating. Reviews are the patient's own words or they are not worth having.
Before the link, the message asks one plain question: was there anything we should fix. A patient who replies with a complaint is routed to your manager, not to Google. You get to hear it first and put it right.

A visit is closed at the counter or by the doctor. Visits of the types you excluded, such as bad-news consults or procedures, never trigger it.

A complaint or a question goes to your manager in the thread. A positive reply, or no reply, is followed by the review link once.

English or Hindi from the record. The feedback question and the link message are both editable per language.

STOP ends review requests for that patient and notes it. Their clinical flows, like refills, are unaffected.
Escalation to staff
Name who receives complaints and questions. They reply in the same thread with the visit open beside them.

Exclude visit types, doctors or diagnoses. Many clinics exclude first visits for serious conditions and all procedures.

No, and you cannot configure it to. The message asks for feedback and offers the link. What the patient writes, and whether they write anything, is up to them.
No. Incentivised reviews are against Google's policies and the flow will not send text that offers one. It will also not filter who gets the link based on how happy they seem.
It goes to the staff member you named, in the same WhatsApp thread, with the visit record beside it. The patient is not sent the review link in that case; the conversation is with your team.
Only for visit types you include, and never more often than the gap you set. A patient who visits every month for a chronic review is not asked every month.
No. The review is written by the patient on Google, on their own account. Saaro only sends the link and records that it was sent.
