The moment it fires

The evening before, when the patient is actually looking at their phone.

A no-show is rarely a decision. It is a patient who forgot, a parent whose school pickup moved, a man who meant to call and didn't. By the time your receptionist notices the empty chair, the slot is gone and the patient who wanted it was told 'no space'.

This flow starts when an appointment is booked. The evening before, the patient gets a short message from your clinic's number with the doctor, date and time, and two choices: reply 1 to confirm, 2 to reschedule. A second nudge goes out on the morning of the visit to anyone who has not replied.

If they reply 2, the flow offers the doctor's next open slots right there in WhatsApp and books the one they pick. The original slot opens up on your calendar immediately, so the desk can offer it to the next caller.

Confirm, move, or say nothing. Each answer does something.

The whole exchange happens in the thread the patient already has with your clinic. Nothing to download, no link to a portal.

    At the hour you set, the reminder goes out from your clinic's number in the patient's language with the two-digit choice.

    1 confirms. 2 shows open slots and rebooks. Anything else, or silence past your cut-off, goes to the front desk's list.

    Record

    The appointment is marked confirmed, moved or unconfirmed. The freed slot is visible on the calendar and the visit note shows what the patient said.

The things clinics ask first.

No. The reminder, the reschedule and the confirmation all happen in WhatsApp. The patient only ever replies with a digit.

The message goes to the staff member you named for this flow, with the appointment beside it. The flow pauses for that patient until a person replies.

Only if you allow it in the reschedule rules. By default the flow offers slots with the same doctor, which is what most follow-ups need.

A list for each day: confirmed, moved, unconfirmed and opted out. The unconfirmed list is the one to call. Freed slots show on the calendar as soon as a patient moves.

We do not promise a number. What the flow guarantees is that every booked patient is asked, every reply is recorded, and every silent patient is on a list before the slot is lost.
