- All inputs are yours: consults per month, average consult fee, follow-ups advised and follow-ups actually booked, refills due and refills collected, chronic patients on the register and chronic patients seen, slots missed and slots refilled
- Each leak is counted at the consult fee, or the pharmacy margin for refills if you enter one; procedures and lab revenue are excluded unless you add them
- No conversion or recovery rate is assumed; the tool does not estimate how much of the leakage any product would win back
- No industry averages or Saaro figures are applied anywhere in the calculation
Four subtractions, each on your own figures.
Follow-ups: the number of follow-ups advised last month minus the number actually booked, multiplied by your consult fee. This is the visit the doctor said should happen and the front desk didn't get into the diary.
Refills: refills that fell due last month minus refills collected at your pharmacy, multiplied by the margin you enter per refill. If you don't run a pharmacy, leave this at zero. Chronic care: patients on your chronic register who were due a visit minus those seen, multiplied by the consult fee. No-shows: missed slots minus refilled slots, multiplied by the consult fee, the same arithmetic as the no-show calculator.
The four are added into a monthly total, shown next to each other so you can see which one is largest. The calculator stops there. It does not tell you how much of the total a reminder, a refill nudge or a check-in flow would recover, because that depends on your patients and your specialty and we won't put a number on it.
- Follow-up leak = (advised − booked) × consult fee
- Refill leak = (due − collected) × your refill margin
- Chronic-care leak = (due − seen) × consult fee
- No-show leak = (missed − refilled) × consult fee

Follow-ups that book themselves
When the doctor sets a follow-up date at the end of the consult, the reminder goes to the patient's WhatsApp from the clinic's number and the reply books the slot.

Count a typical week from the register or the prescription copies and multiply out. Enter zero for anything you can't estimate; the total will be lower than reality, but it will be yours.
