Your spreadsheet already is a patient database. It just does not know it.
Most clinics that run on Excel have one sheet per year or per doctor with a row per visit: date, name, phone, age, complaint, diagnosis, medicines, fee. Reports live in a folder, in a WhatsApp group, or in a drawer. Appointments are in a diary or a phone. None of that is a problem. Every one of those places maps to something in Saaro.
The first job is turning rows about visits into records about patients. We group rows by phone number, so a patient who has visited eight times becomes one record with eight visits in a timeline. Where the sheet has no phone column, we group on name and age and you confirm the ambiguous matches on the verification call.
The second job is the medicines column. If it holds free text like 'Tab Metformin 500 1-0-1 x 30d', we parse it into a structured row with drug, dose, frequency and duration, so refill reminders and interaction checks work on it. Lines the parser is unsure about are imported as text and flagged for you.

Built from the sheet by grouping rows on phone number. Name, phone, age or date of birth, sex, address and allergies are read from whichever columns hold them. Missing phone numbers are collected at the next visit.

Visits
Each row with a date becomes a visit on the patient's timeline, with complaint, diagnosis and notes from the matching columns. Dates in mixed formats (2/3/24, 02-Mar-2024) are normalised and any that cannot be read are flagged.

Free-text medicine cells are parsed into structured drug rows where the parser is confident, and imported as text where it is not. You decide whether to re-structure the flagged ones, starting with chronic patients.

PDFs and images from a folder or a chat export are attached to visits by matching patient and date from the file name or the sheet. Unmatched files go into a holding area for the front desk to file.

Fee and payment columns are imported as receipts so each patient shows a correct balance. Your GST registration, invoice series and letterhead are set up fresh in Saaro by you.

Upcoming appointments from a diary or sheet are entered into the Saaro calendar. You confirm doctors and slot lengths; going forward, bookings come in on WhatsApp.

You send us the sheets as they are, plus the folder of reports if you have one. No tidying required. Upload through the secure link we send, not over email or WhatsApp.

We read every sheet and send a mapping: which column becomes which field, how patients are grouped, how dates and medicines are parsed. You approve it or mark changes.

Import
We load the data into your Saaro workspace, group rows into patients, parse prescriptions, attach reports and produce a count of what was imported, what was flagged and what was left unmatched.

Verify
On a call, your front desk looks up ten to twenty regular patients in Saaro and checks them against the sheet. Flagged items are resolved together or left for the next visit.
Keep the sheet for a fortnight. Then notice you have stopped opening it.
From the next OPD session, new visits go into Saaro. The sheet stays where it is and nothing in it is changed. Most clinics keep it open beside Saaro for a couple of weeks and then simply stop, because the record they need is already on the screen.
Your clinic's WhatsApp number is onboarded onto SaroConnect, Lumotis's own WhatsApp Business Solution Provider infrastructure, during setup. Patients who used to message the front desk's phone keep messaging the same number; the difference is that reminders, prescriptions and reports now go out automatically from it.
The clinic's habits change more than the patient's. Reports stop arriving in a group chat and start arriving in the record. The diary becomes a calendar that fills itself from WhatsApp confirmations. The fee column becomes a GST invoice.

No. The sheet is read, never edited. Every row becomes a visit or is flagged for review, and you keep the original file. You verify regular patients in Saaro against the sheet before cut-over.
About two days for a typical clinic: mapping on day one, import and verification on day two. Sheets with no phone column or heavily inconsistent dates can add time, which we tell you after seeing the file.

Published plans are Solo ₹1,499 and Clinic ₹3,999 per clinic per month, billed annually, excluding GST, with patient messaging included. Migration is scoped on the demo call once we have seen your sheet.
Yes, for as long as you like. Enter new visits in Saaro and keep the sheet open for reference. Adding new rows to the sheet after cut-over is not recommended, because those rows would then need a second import.
